Job Reference Letter of Recommendation: 13 Full Examples

A job reference letter of recommendation is a one page letter in which a manager or colleague says how long they worked with you, in what role, two things you did well with evidence, and whether they would hire you again. In the US, recommendation letter and reference letter mean the same document, so the examples here work under either name. The constraint is honesty: a letter is risky to exaggerate and risky to poison, so the strongest ones are specific rather than warm. The University of California, Berkeley's teaching center publishes a model that ranks the candidate and then evidences the ranking. Thirteen complete reference letters follow as free samples to copy: a sample reference letter for an employee from a manager, a fill in reference letter template for an employee, two more letters of recommendation for an employee who is leaving, letters for nursing school, a student scholarship and a promotion, a character letter, a teacher for a student, a neutral policy letter, a short-term worker, a volunteer, and the resume summary you send the person writing your letter of recommendation. Written by Mustafa Tarabya, who hired for his own company, read every application himself and now writes CVBooster's guides.
Everybody asks for a recommendation letter with three days' notice. The writer then has three days to remember who you are.
The job reference letter first, from a manager, which is the one most people are asked to write.

Sample reference letter for an employee from a manager, four years' service (163 words)

To the Hiring Manager,
I am writing in support of Nadia Haddad's application for the Operations Supervisor position at Kingsbury Foods.
Nadia reported to me for four years, from February 2022 until January 2026, as a Shift Coordinator at Verdant Fresh Produce, where I am the Site Manager. I supervised her directly and completed her reviews throughout that period.
Two things stand out. She rebuilt our chilled dispatch schedule in 2024 after we lost a driver, and on-time departures went from 86 percent to 97 percent the following quarter, measured on our own gate log. She also trained eleven new starters, nine of whom were still with us a year later.
She is the person I would call on a bad morning, because she tells me about a problem while it is still small.
I would rehire her without hesitation and am happy to answer questions by phone.
Sincerely,
Owen Brightwell Site Manager, Verdant Fresh Produce obrightwell@example.com (614) 555 0142
What makes a good reference letter
A credible letter reads as evidence rather than affection. It opens with the relationship and its length, then places the candidate against a group. Berkeley's model does it in one sentence: "I would rank her in the top 2% of students that I have taught in the past five years in respect of her writing ability and research skills." Each claim after that is proved with a named piece of work.
Good reference letter examples share three habits, and the gap shows in a single line. A weak letter says: "Dana is hardworking, reliable and a pleasure to work with." A good one says: "In two years on my team Dana closed every month end on time, and when our payroll clerk left she ran payroll alone for six weeks without a late payment." The second line names a period, a task and a result, and a reader can check all three with one phone call.
So: name your role and how long you have known the person in the first two sentences, use one number the reader can check, and say plainly whether you would work with them again. That last sentence is the one the reader is hunting for.
Reference letter template for an employee
If you are the manager and the letter is due tomorrow, start from this template. Every bracket is a fact only you can supply, and the letter is only as good as the sentence you put in the third paragraph.

To the Hiring Manager,
I am writing to recommend [full name] for the [job title] position at [company].
[First name] worked for me at [your company] from [month and year] to [month and year] as a [their job title]. I am the [your job title] and I supervised [him, her or them] directly for that whole period.
The work I would point to first is [one specific piece of work, with a number or a date]. It mattered because [what it changed for the team or the customer].
[First name] is also [one quality you have seen more than once], which I saw when [a second, short example].
I would hire [first name] again, and I am happy to answer questions on [phone number] or [email].
Sincerely,
[Your name] [Your job title], [your company]
Letter of recommendation for an employee who is leaving
A letter of recommendation for an employee is the same document as the reference above, written at the moment they hand in notice or lose the job. Two cases come up more than any other: a supervisor writing for an hourly worker, and a manager writing after a layoff. The layoff letter has one extra job. It must say plainly that the departure had nothing to do with performance, because the next employer will wonder.

Letter of recommendation for an employee: warehouse associate, from a shift supervisor (134 words)
September 22, 2026
To the hiring team,
I supervised Marcus Bell on the night shift at Lakeview Distribution in Columbus, Ohio, from June 2023 until this month. He worked as a warehouse associate on receiving and later on outbound loading.
Marcus learned the forklift certification in his first three months and became the person I put on the dock when a late truck arrived. In 2025 he trained four new hires on our scanner process, and none of them needed retraining. He missed two shifts in two years, both with notice.
He is leaving because he is moving to Indianapolis with his family. If I had a position there, I would offer it to him.
I am happy to answer questions by phone.
Sincerely,
Teresa Okafor Night Shift Supervisor, Lakeview Distribution (614) 555-0139 t.okafor@example.com

To whom it may concern,
I managed Elena Ruiz for three years in the marketing team at Brightline Software in Austin, Texas, where she was a marketing coordinator. Her role was eliminated on September 30 when the company closed its Austin office. The decision affected the whole team and had nothing to do with her work.
Elena ran our webinar program from booking to follow-up, eighteen events in her last year, and rebuilt the sign-up page so that every registration landed in the sales system without manual entry. When our designer left in 2025, she covered the event graphics for four months on top of her own work.
I would hire Elena again without hesitation, and I will say so to anyone who calls.
Sincerely,
David Chen Director of Marketing, Brightline Software (512) 555-0175 david.chen@example.com
A recommendation letter for nursing school
Nursing programs want evidence of reliability and care under pressure. A clinical supervisor or a manager from a care job writes the strongest one.

Dear Admissions Committee,
I am writing to recommend Jasmine Carter for the Bachelor of Science in Nursing program at your university.
I have supervised Jasmine for two years as a certified nursing assistant at Oak Hill Senior Living, where I am the Director of Nursing. Our memory care unit has 32 residents.
Jasmine noticed in 2025 that one resident was eating less at dinner over a week, and she charted it and told the nurse on shift. The resident had an infection that was caught early. That habit of noticing small changes is the most important thing I look for in a future nurse.
She has never missed a shift without notice, and she now trains our new aides on safe transfers.
I recommend her with no reservations and am happy to be contacted.
Sincerely,
Angela Price, RN Director of Nursing, Oak Hill Senior Living (317) 555 0124
A reference letter for a student scholarship
A reference letter for a student scholarship is read next to dozens of others. Name the scholarship, give one measurable achievement, and say what the money will change for this student.

Dear Scholarship Committee,
I am pleased to recommend Diego Ramirez for the Hillcrest Community Foundation Engineering Scholarship.
I have taught Diego in physics for two years at Lincoln High School and advise the robotics club he captains. He is in the top five of my 140 students this year.
Last spring Diego rebuilt our team's robot arm after it failed two days before the state qualifier, and he taught three first-year members how to do the wiring so the team would not depend on him. We qualified.
Diego works twenty hours a week at his family's restaurant during the school year. This scholarship would let him study engineering full time.
Sincerely,
Laura Kim Physics Teacher and Robotics Advisor, Lincoln High School (503) 555 0177
A recommendation letter for a promotion
Internal letters can be shorter, because the reader knows the company. Focus on the skill the new job needs.

Recommendation letter for an internal promotion, from a manager (113 words)
March 3, 2026
To the Promotion Panel,
I recommend Kevin Tran for the Customer Support Team Lead position.
Kevin has worked on my support team for three years. For the last eight months he has covered the team lead's scheduling while the role was vacant, for a team of nine.
In that time he cut our weekend backlog by moving two agents to a split shift, which the team agreed to in a vote he organized. He also wrote our refund process guide, which every new agent now uses.
He already does half of this job well. I would like him to have the title for it.
Sincerely,
Rosa Delgado Customer Support Manager
The character reference
A character reference comes from someone who knows you outside work, usually for a tenancy, a court matter or a volunteer role. Do not claim professional knowledge you do not have.

Character reference from a community contact, for a tenancy (138 words)
March 3, 2026
To Whom It May Concern,
I am writing in support of Marcus Ntaba's tenancy application.
I have known Marcus for six years through St Aidan's community center in Columbus, where I chair the trustees and he has volunteered in the Saturday food program since 2020. He is not a relative and I am not his employer.
In those six years he has held keys to the building, locked up alone most Saturdays, and handled the cash float for the produce table without a discrepancy at our monthly count.
When our freezer failed in 2023 he drove the stock to another site the same night rather than waiting for the trustees to meet.
I am glad to be contacted about any of this.
Sincerely,
Helen Ward Chair of Trustees, St Aidan's Community Center (614) 555 0187
A teacher writing for a student
The teacher version needs the course, the grade or rank, and one piece of work described closely enough to picture. The same shape works for a college application or a first job.

Dear Admissions Committee,
I am pleased to recommend Sofia Okafor for admission to your nursing program.
I taught Sofia in AP Biology at Eastvale High School in 2025 and 2026, in a class of 28, and supervised her as a peer tutor on the school's science help desk.
Sofia finished the year with the second highest grade in the class, but the reason I am writing is the help desk. She logged the misconceptions she met most often and turned them into a one-page sheet on cell respiration that I now use with my own classes. Twelve students used her Wednesday sessions regularly.
She asks the question behind the question, which is the habit that makes a good clinician.
I recommend her without reservation.
Sincerely,
Daniel Reyes Science Teacher, Eastvale High School (614) 555 0163
The neutral policy letter
Many US employers confirm dates and job title only, as policy. The letter is still worth requesting, because it proves employment for background checks, and some states compel it: Missouri's service letter statute obliges a corporation with seven or more employees to provide one on written request by certified mail.

Neutral reference confirming dates and title, company policy (112 words)
March 3, 2026
To Whom It May Concern,
This letter confirms the employment of Daniel Osei at Lowmoor Engineering, Inc.
Mr. Osei was employed as a Senior Technician from August 14, 2017 to December 12, 2026. His employment ended when he resigned, and he worked his full notice period.
It is the policy of this company to confirm dates of employment, job title and reason for leaving, and not to comment on performance. This applies to all former employees and is not a reflection on Mr. Osei.
Written verification of the above can be provided to a background screening agency on request.
Sincerely,
Grace Milburn Human Resources Manager, Lowmoor Engineering, Inc. hr@example.com
Reference and recommendation letters for volunteers and short-term workers
With little history, write what you saw rather than stretching what you know. Six weeks described precisely beats two years described vaguely.

Reference for an intern or short-term worker, six weeks (145 words)
March 3, 2026
To the Hiring Manager,
I am writing in support of Liam Ferreira's application for a Customer Service Associate role.
Liam worked for me for six weeks, from June 30 to August 8, 2026, as a summer assistant at Marlowe Hardware, where I am the Store Owner. Six weeks is short, so I will stay with what I can vouch for.
He handled the returns counter alone from his second week, which I do not normally allow that early. He logged 114 returns in that time with two errors, both caught by him. He also rewrote our shelf labels for the plumbing aisle after customers kept asking for the same three fittings.
He was never late. I would take him back next summer and would hire him permanently if I had the hours.
Sincerely,
Priya Shah Store Owner, Marlowe Hardware (614) 555 0179
A volunteer letter works the same way, with one change: the writer is usually a volunteer coordinator rather than a manager, so the letter says how many hours or shifts they saw, not a salary grade. Hours are the number a reader can check, because most organizations log them.
Here is the full letter, written by a food bank coordinator for a volunteer applying to a training program.
April 14, 2026. To the Admissions Committee: I am writing to recommend Tomas Rivera for the Community Health Worker certificate program at Lakeview College.
Tomas has volunteered at Eastside Community Pantry since September 2024, where I am the Volunteer Coordinator. Our sign-in log shows 212 hours over that time, mostly Saturday distribution shifts.
From his fourth month he led the intake table, which means he is the first person a family speaks to. He rewrote our intake checklist in plain language and in Spanish, and the line now moves faster on our busiest mornings. When a client fainted in the queue last winter, he called 911, cleared the space and stayed with her until the paramedics arrived.
I trust him with people on their worst day. I recommend him without reservation. Sincerely, Grace Okafor, Volunteer Coordinator, Eastside Community Pantry, gokafor@example.org, (312) 555 0186.
Send a resume with your letter of recommendation request
The best letters are written by people who were handed the facts. A short resume for a letter of recommendation, sometimes called a brag sheet, lists the dates, the work and the two things you would like mentioned, so your referee spends the time on the opinion instead of on remembering when you started.

Resume summary to send with a letter of recommendation request (126 words)
Nadia Haddad, request for a job reference
Applying for: Operations Supervisor, Kingsbury Foods. Deadline: March 10, 2026. The letter goes to the hiring manager by email.
When we worked together: Shift Coordinator at Verdant Fresh Produce, February 2022 to January 2026, reporting to you as Site Manager.
Two things I would like you to mention, if you agree with them: 1. The chilled dispatch schedule I rebuilt in 2024, after which on-time departures rose from 86 to 97 percent on the gate log. 2. The eleven new starters I trained, nine of whom were still with us a year later.
What the new job needs most: running a shift without a supervisor on site, and training new staff.
Attached: my current resume and the job advert.
The rules a reference has to respect
| Rule | What it says | Source |
|---|---|---|
| A negative reference can be retaliation | Retaliation includes "giving an unjustified, untruthful negative job reference" or "refusing to provide a job reference" | EEOC, retaliation guidance |
| Truth is a defense | An employer may answer such a claim with "truthfulness of the information in the reference" | EEOC, retaliation guidance |
| Some states compel a service letter | In Missouri, a corporation with seven or more employees must issue, within 45 days of a written request by certified mail, a letter "setting forth the nature and character of service rendered by such employee" | Missouri Revised Statutes 290.140 |
| Departing from policy is evidence | Pretext includes an employer that "routinely declines to offer information about its former employees' job performance but departed from that policy" | EEOC, retaliation guidance |
To draft one from your own notes, the recommendation letter generator builds a first version you then make specific. For immigration cases, see the character reference letter for immigration samples. Nearby documents: references on a resume covers whether to list referees at all, referral letter the internal recommendation, and to whom it may concern letter the greeting when there is no name.
What not to write
- Anything you cannot evidence. "Hardest worker I have ever managed" with no example reads as a favor.
- Health, family, age, religion or immigration status. None of it belongs in the letter.
- A hint that you cannot say more. A meaningful pause does more damage than a plain policy sentence, and the EEOC treats departures from a stated policy as evidence.
- A rank with no basis. If you write top 5 percent, say of what group and over how long.
- A signature nobody can check. Title, organization, email and phone, every time.
Frequently asked questions
What is a good example of a recommendation letter?
A good reference letter example names the writer's role and how long they have known the person, gives two specific achievements with dates or numbers, and ends with a clear recommendation and contact details. The job, nursing school and scholarship letters above all follow that shape in under 200 words.
Is a recommendation letter the same as a reference letter?
In the US, mostly yes. Both describe a person's work or character for a specific purpose. "Recommendation" is more common for school and scholarship applications, "reference" for jobs and tenancy. The structure is the same: relationship, evidence, recommendation, contact.
How do you write a letter of recommendation for an employee?
Open with your role and how long you have known the person, in what capacity. Give two specific examples with dates or numbers, placed against a group. Close with whether you would work with them again, and leave a phone number.
How do you write a recommendation letter for a volunteer?
Write as the person who supervised the volunteering, usually the coordinator. Give the start date and the hours from the sign-in log, name one responsibility the volunteer was trusted with and one moment that proved it, then recommend them plainly. The food bank letter above is a sample reference letter for a volunteer you can adapt.
How to ask someone for a reference letter?
Ask in writing, at least two weeks ahead, and ask whoever supervised the work you want discussed rather than the most senior person you know. Include the job or program, the deadline, where the letter goes, and the two or three things you would like mentioned.
Should I give my resume to someone writing my letter of recommendation?
Yes. Send your resume, the job advert or scholarship details, and a short summary of the dates and the two achievements you hope they will mention, like the example above. Offer the facts, never the opinions. The writer still decides what to say, but now they can say it accurately.
